CONDOMINIUM MANAGEMENT SERVICES

Administrative

  1. Maintain administrative records such as unit resident lists, contract files, copies of meeting minutes, pet and automobile registrations, legal documents and other administrative items.
  2. Create and send meeting notices, prepare ballots, proxies, etc.
  3. Attend quarterly Board of Directors and annual membership meetings.
  4. Insurance administrating & bidding.
  5. Enforce covenants, rules, and regulations.
  6. Provide impartial negotiation services for neighbor conflicts.
  7. Assist and educate the Board of Directors on matters pertaining to the successful management of their condominium association.

Financial Reporting

  1. Collection and recording of dues and other income.
  2. Send delinquent notices. If needed, file liens or pursue collection procedures.
  3. Disburse funds for all payables, including property utilities and insurance.
  4. Reconcile monthly bank statements and distribute copies to Board.
  5. Timely, accurate, and complete monthly and year-end statements including:
    1. Income and Expenses Statement
    2. Check Register
    3. Monthly Transaction Report
      Delinquent Status of Unit Owners
    4. Reserve Account Balances

  6. Assist with the preparation and implementation of the annual budget.

Maintenance

  1. Conduct regular inspections of the property.
  2. Prompt response to repair and maintenance request.
  3. Collect at least three bids for each project.
  4. Assist in preparing/selecting maintenance service contracts.
  5. Supervise the work of contractors ensuring quality craftsmanship.
  6. Assist with scheduling of annual maintenance needs such as gutter cleaning, window washing, and lawn and garden care.
